1. Introduction & Scope

This Privacy Policy describes how **SnapGrader.org** (hereafter referred to as "SnapGrader," "we," "us," or "our"), operated by **Sentinel Security Labs, LLC**, collects, processes, and protects your information.

We provide automated test grading helper solutions for educators. By emailing scanned test documents to grade@snapgrader.org or uploading files through our portals, you agree to the collection and processing of files as detailed in this policy.

2. Compliance with School Regulations

We operate strictly under data protection standards, keeping student privacy at the forefront of our engineering decisions:

FERPA (Family Educational Rights and Privacy Act)

SnapGrader aligns with FERPA standards under the **"School Official" exemption** (34 CFR ยง 99.31(a)(1)). We act as an outsourced service provider performing grading functions on behalf of schools. We process records solely to calculate test results and possess no separate commercial rights to student profiles.

COPPA (Children's Online Privacy Protection Act)

We do not communicate directly with, nor intentionally collect information from, children under 13 years of age. All test submissions are handled strictly by registered adult teachers, and we do not maintain persistent databases of student identities.

3. Data Collection and Processing

To perform our automated grading service, we collect and temporarily process the following:

  • Scanned Exam Documents (PDFs/Images): The files sent by teachers for automatic answer key grading.
  • Teacher Email Addresses: Used exclusively to route graded Excel spreadsheets back to the correct sender.
  • Anonymized Grade Metadata: Scores, averages, and statistical class performance tables.

We do not collect student home addresses, billing data, student contact information, or direct government IDs.

4. Data Retention and 24-Hour Wipe Policy

Our retention policy is designed to minimize risk and maximize privacy. We enforce a strict automated data cleaning lifecycle:

The 24-Hour Automated Cleanup

All scanned student test PDFs and raw image uploads are automatically and permanently scrubbed from our servers exactly 24 hours after processing. We maintain no persistent repository of student handwriting, text answers, or test files.

Teachers receive their Excel gradebooks directly in their email inboxes. Once delivered, data management falls under the teacher's and school district's normal archiving policies.

5. Information Security

To protect data from unauthorized access, alteration, disclosure, or destruction:

  • All files in transit are protected using HTTPS and secure SMTP/TLS email routes.
  • Data processing pipelines reside in isolated containers utilizing AES-256 disk encryption protocols.
  • Access to temporary processing servers is restricted under strict multi-factor authentication (MFA) policies.

6. Changes to this Policy

We may update this Privacy Policy from time to time to align with legal compliance updates. In the event of material modifications, we will post the updated terms on this page and adjust the effective date.
